Terms & Conditions

The following terms & conditions apply to Alnwick Castle Golf Club (“the venue”).

Functions & Meetings

Bookings are at the discretion of the venue whose decision shall be final in all matters concerning the booking. Bookings will not be confirmed until the booking form has been accepted by the hirer and the specified security deposit has been paid. Receipt of deposit constitutes full agreement to all terms & conditions stated.


The full specified deposit shall be paid to confirm your booking prior to your event. All remaining balance payments must be paid as per payment terms detailed in clause 3 below. Failure to do so may result in loss of reservation and cancellation charges applying as per clause 4.

Payment Terms:

Room only bookings are charged at £37.50 per hour for a minimum of two hours:  20% deposit 80% 14 day prior to the event

Function, Celebration/Meeting: 20% deposit 80% 14 day prior to the event

Wedding: 20% Deposit 20% 6 months prior to the event 60% balance payable 1 month prior

Funeral: Full balance payable on invoice no later than 7 days after the funeral

Cancellation Terms

Room only bookings: Over 14 Days, loss of deposit 0-14 days 100% of value

Function, Celebration, Meeting: Over 14 Days, loss of deposit 0-14 days 100% of estimated value

Wedding: Over 90 days, loss of deposit 0-90 days 100% of estimated value

Premises should be left in reasonable condition. Should additional cleaning be necessary, or damage/loss occurs the hirer shall pay the venue the amount required to make good or remedy any such loss or damage.

All prices/charges are inclusive of VAT unless specified. If the VAT rate increases the venue has the right to change the prices accordingly.

The hirer is responsible for the actions and consequences of all their guests, employees, and sub-contractors

The finishing time will be added to the booking form. The time stated shall be the time when the function room (s) shall be cleared and the hirers guests vacate the venue, not when the function ceases.

No bolts, nails, screws, tacks, drawing pins, Sellotape shall be fixed to any part of the premises, nor shall place cards, banners or smaller articles be fixed internally or externally without prior written consent from the venue.

No inflammable, dangerous or offensive article or any animal (other than registered assistance dogs) shall be brought onto the premises without written consent of the venue.

No person under the age of 18 shall be permitted to purchase or consume intoxicating drinks.

The venue reserves the right to conclude any function which, in its opinion, is unsuitable or not properly conducted and in such cases, no part payment shall be returned whatsoever.

The venue shall not be liable, whether in contract, tort or otherwise for any personal, indirect, consequential, or economic losses however arising, including those arising from services or products supplied by third parties

All arrangements regarding the hirer’s requirements (i.e final numbers of guests, menus, layouts etc) shall be confirmed to the venue not less than 14 days prior to the date of booking. Charges will be based on these minimum numbers or if greater, the actual attendees.

The venue reserves the right to change menu content under reasonable circumstance.

Prices quoted on our website and other marketing material are subject to change.

Interest on overdue invoices shall accrue from the date when payment becomes due, from day to day, until the date of payment at a rate of 4% above The Bank of England base rate from time to time in force and shall accrue at such a rate, as well as before judgement.

These terms and conditions shall be governed by the laws of England.

Restaurant

Reservation Duration

Tables are available for two hours or such shorter time communicated to you in your booking confirmation, after which they will be re-booked for another customer. Please contact us if you would like to stay at your table for longer than two hours and, if we have space available, we will do our best to accommodate you.

We respectfully ask that you are ready to be seated at the time of your reservation to ensure the best possible level of service to all our guests. If you are running late, we kindly ask that you notify us by telephone at your earliest convenience. Your table will be held for 15 minutes after which time it may be allocated to another customer.

Should you wish to have a drink prior to being seated, please arrive earlier, or change your reservation to a later time. You may continue your experience in the dukes bar or on the balcony (weather permitting) for drinks after your meal.

Cancellation Policy

We require at least four hours’ notice for every cancellation. For bookings cancelled with less than four hours’ notice, we will charge £10.00 per person if we are unable to resell the table. If you do not show up, we may charge £15.00 per person. If your booking was made on the day of arrival, we have the right to enforce the previous charges if booking not cancelled within one hour’s notice We also may request a deposit to guarantee a table on on busy days.

Table Allocation

Unfortunately, we cannot guarantee window tables or specific areas when taking reservations, but we will do our best to accommodate your requests. Your understanding is appreciated.

Food Safety and Allergens

We respectfully ask that food that has not been prepared in our kitchens is not consumed on our premises. For the avoidance of doubt, this does not include celebratory cakes. We ask for 24 hours’ notice of your intention to bring a celebratory cake.

We cater for most dietary requirements and have strict policies in place for customers with food allergies. Please let us know of any allergies before you place your order at the restaurant and check our allergen menu before choosing your dish. This will ensure that we are able to follow our food allergy policy and take all reasonable precautions to avoid cross-contamination. We are happy to respond to any specific requests for further information regarding allergens in our kitchens prior to your visit. All our wait staff, chefs and kitchen staff are fully trained on our allergen policy and any questions can be answered prior to orders being taken.

Gift Cards

Gift cards can be purchased from Alnwick Castle Golf Club. The cards can only be redeemed at Alnwick Castle Golf Club.

Gift cards cannot be refunded, exchanged for cash or vouchers, or used to settle accounts.

If the balance of an intended purchase is higher than the gift card amount, the remaining balance can be settled by cash or card. If the intended purchase is lower than the gift card amount, any amount over will remain on the card until the expiry date.

All gift cards are valid for 24 months from the date of purchase. Any remaining balance will be deducted to nil and forfeited on the date of expiry.

Gift cards remain the property of Alnwick Castle Golf Club and may not be defaced, tampered with, or interfered with, without our consent.

Regretfully, we are unable to replace lost or stolen cards.
